Procedure for Announcing Rides submitted after Ride Calendar Publication

It is the objective of the AABTS Ride Calendar Committee to compile and
distribute a ride calendar that is as complete as possible in a timely manner. 
It is the responsibility of the AABTS membership to provide ride information by
the committee's deadlines; these deadlines are printed on each ride calendar. 

For the 2007 ride calendars those deadlines are April 18 (June/July), June 20
(August/September), August 15 (October/November) and October 17 (Winter).  It
takes a fair amount of time and effort on the part of members of the committee
to compile, verify and review the information that is provided in the ride
calendar.  The Ride Calendar Committee is aware that there are some rides that,
due to a variety of circumstances, are not included in the current ride
calendar.   A policy and procedure to handle these few rides has been developed
by the committee and is stated below:

-- All ride requests will be submitted to the chair of the ride calendar
committee (Jim Spencer), preferably by e-mail (jspencer_aabtscal@earthlink.net).

-- The chair will pass the ride request onto the appropriate ride calendar
committee member for review and approval.

--The committee member will communicate to the ride requester whether the
ride has been approved.

-- Approved rides will be posted to the AABTS website calendar by the
Website Coordinator.

-- In some circumstances a mass e-mail, announcing that additional rides
have been posted to the website, will be sent via the club e-mail list.

It is expected that AABTS members will make every effort to provide the proper,
detailed ride information to the Ride Calendar Committee by the deadlines set by
the committee.  The committee chair will make sure that all members are fully
aware of the deadlines for each ride calendar.   The policy stated above is put
in place to handle the extremely rare and extraordinary circumstances that arise
during the year.
